Personal Information Processing Rules for the Voiceprint Recognition Service

1.Scope of Application
1.1 This "Personal Information Processing Rules for the Voiceprint Recognition Service" explain how Dingding Technology Co., Ltd. And DingTalk (China) Information Technology Co., Ltd.. (collectively, "we", "us" or "our") collect and use your personal information in providing the voiceprint recognition service (the "Service"). By accepting these rules you acknowledge that you understand the personal information required for the Service to operate and authorize the corresponding collection and use. Before you begin using our products and services, please read and understand these rules carefully. Pay special attention to the terms we have highlighted in bold to ensure you fully understand and agree before using the relevant features.
The Rules may be available in multiple languages. In the event of any inconsistency or conflict between the terms of the language versions, the simplified Chinese version shall prevail.
1.2 These rules primarily explain the purpose, scope and methods of DingTalk’s voiceprint recognition service and how it processes personal information. The Privacy Policy of DingTalkshall apply to matters concerning customer service and dispute resolution related to your use of the Service; the security protections provided to you; other rules on the collection and use of personal information; partners involved in data use and any transfers; disclosure of personal information; your rights; information storage; protection of minors; our contact information; relevant definitions and general/principle provisions; and any other matters not covered herein.
2. Information Collection and Use
2.1 The voiceprint recognition service is used to distinguish different speakers in AI Minutes (formerly "Shanji") files, helping users record remarks from different meeting participants so attendees can quickly review meeting minutes and improve collaboration efficiency. The Service is available to users who have enabled voiceprint recognition, provided that the organization to which the AI Minutes belongs has enabled the voiceprint recognition feature. In addition to voiceprint recognition, we also support manual speaker tagging by the owner of the AI Minutes. If a manually tagged speaker disputes the tagging result, they may contact the AI Minutes owner to request modification.
2.2 Implementing voiceprint recognition requires a sample of your voice. We will select a segment of voice from your past or future meetings, or a segment recorded while you read a specified text, and extract and label it as your voiceprint feature. You shall agree to our collection of this voice sample and to our extraction of your voiceprint features from it for use as the basis for voiceprint comparison. "Voiceprint features" refers to identifying characteristics obtained by processing voiceprints and other features using relevant technologies.
2.3 After you enable the Service, when you participate in meetings where DingTalk AI Minutes is enabled, or when you or other users in the same organization record audio files, we will match the AI Minutes speaker content against the voiceprint features to verify speakers so as to record speaker identities in AI Minutes files. We continuously strive to improve the accuracy of voiceprint recognition, but please be aware that, due to the state of industry technology, we cannot guarantee complete accuracy.
2.4 When collecting and using the above information, we will only associate the voice samples and voiceprint features with your DingTalk account in order to identify the actual speaker in DingTalk AI Minutes files. We will not directly link voiceprint features with your real-world identity information such as your name, national ID number, or other personally identifying information (if any). In addition, we will encryptively store voiceprint feature information and isolate it from your identity information to help protect your personal information.
2.5 While you have this feature enabled, we will periodically update your voiceprint in accordance with the purposes set out in these rules to continuously optimize your user experience. You may withdraw authorization for the processing of your personal information by disabling the Service or deleting your DingTalk account. We will delete your voiceprint feature information after you withdraw authorization in order to protect your information security. However, your decision to withdraw authorization will not affect data processing activities that were performed previously with your consent.
2.6 To further improve the user experience, we may optimize this feature as required by business needs. When our personal information processing practices change, we will update these rules to inform you of specific changes. For material changes, we will provide more prominent notice. Updates will take effect on the date they are published. If you do not agree with the updated content, you have the right to stop using the related services.
