AI Minutes Service Feedback Personal Information Processing Rules

1.Scope of Application
1.1 This "AI Minutes Service Feedback Personal Information Processing Rules" explain how Dingding Technology Co., Ltd. And DingTalk (China) Information Technology Co., Ltd. (collectively, "DingTalk", "we", "us" or "our") collect and use your personal information in providing the AI Minutes (formerly "Shanji") service feedback feature (the "Feature"). By agreeing to these Rules, you acknowledge that you understand the personal information required for the operation of the AI Minutes service feedback feature and authorize the corresponding collection and use. Before you start using our products and services, please read and understand these Rules carefully. Pay special attention to the provisions we have highlighted in bold to ensure that you fully understand and agree before using the relevant features.
The Rules may be available in multiple languages. In the event of any inconsistency or conflict between the terms of the language versions, the simplified Chinese version shall prevail.
1.2 These Rules primarily explain the content of the AI Minutes service feedback feature and the purposes, scope and methods of its collection and use of personal information. The Privacy Policy of DingTalkshall apply to matters concerning customer service and dispute resolution related to your use of the Service; the security protections provided to you; other rules on the collection and use of personal information; partners involved in data use and any transfers; disclosure of personal information; your rights; information storage; protection of minors; our contact information; relevant definitions and general/principle provisions; and any other matters not covered herein.
2. DingTalk AI Minutes Service Feedback Feature
You can use the AI Minutes service to transcribe meeting content into text and improve meeting efficiency by recording directly within audio/video meetings, making separate audio recordings, or uploading audio/video files.
Regarding the transcription quality of the AI Minutes service, if you proactively click negative feedback, we will ask for your suggestions for improvement on the product page. If you proactively opt into service optimization, and after you agree to these Rules, we will handle your personal information in accordance with Section 3 of these Rules for the purpose of optimizing AI Minutes service quality.
If you only click positive or negative feedback without choosing to opt into service optimization, we will only aggregate your feedback anonymously and will not use your AI Minutes content for service optimization. If you do not want DingTalk to use your feedback for statistical purposes, we recommend that you do not submit feedback proactively.
3. Information Collection and Use
To provide you with the AI Minutes service optimization feature, you must authorize us to use the transcript text of the AI Minutes content you select, audio/video files, meeting ID, participant IDs, AI Minutes initiator ID, and device model parameters. Subject to privacy protections, we will use the foregoing information to improve user experience and to iterate and optimize this service. If you do not proactively authorize this Feature, it will not affect your ability to use other features of DingTalk AI Minutes. To realize the foregoing features, we will process your information ourselves or engage AI model providers with whom we cooperate to process the information using artificial intelligence models.
For the roles, purposes and scope of processing, and information security assurances relating to DingTalk’s entrusted processing of enterprise or organization control data and related personal information of its employees as end users, please refer to the "Certified DingTalk Enterprise or Organization User Data Processing Agreement".
DingTalk implements cybersecurity classification and protection measures in accordance with law, and collects, stores, protects and uses your information strictly in accordance with these Rules and the Privacy Policy of DingTalk.
